Mantx Field Privacy Policy
Last updated: October 28, 2026
This policy explains what the Mantx Field app for Android collects, why, who can see it, how it is protected and how long it is kept. It covers the Mantx Field app only.
Who we are
Mantx Field is provided by Mantx, LLC ("Mantx", "we", "us"), 231 Tanner Drive, Taylors, SC 29687. Mantx makes business software that tree-care companies use to run their work. Questions about this policy go to info@mantx.com.
Who the app is for, and whose information it is
Mantx Field is a work app for the sales reps and crews of businesses that use Mantx. This policy calls such a business "your employer". You can sign in only with a login your employer created for you in Mantx. The app cannot create accounts. Your employer decides who in the company can use Mantx Field, and can end your access at any time.
The work you record in the app goes into your employer's Mantx account. So do records about you, such as your phones and when each last connected to Mantx, and any disciplinary record a crew leader files about you. Your employer decides who in the company can see it ("How long information is kept" says how long it is kept). Mantx stores and processes this information to provide the Mantx service to your employer, following your employer's instructions, and to keep the service secure and working, as this policy describes. For questions about how your employer uses your work records, ask your employer.
What the app collects
In this policy, "collect" means information the app sends from your phone to Mantx. Each item the app sends carries the time you recorded it and your phone's time zone.
Your sign-in and account
- The email address and password you sign in with. The app sends the password over an encrypted connection to Mantx, which checks it with its sign-in service. Mantx Field never stores it on the phone. If you use a password manager, Android may offer to save it there.
- Identifiers that link the phone to your account. These are an installation ID that the app creates, and a device ID, a device secret and sign-in tokens that Mantx issues when you sign in. They let Mantx recognise your phone, show your office which phones are signed in, and switch a phone off when needed.
- When you sign in, the app also sends the phone's model, its Android version and the app's version. Your office sees them in its list of phones, with when the phone signed in and when it last connected to Mantx. Every connection to Mantx's servers also carries the app's version.
Work you record as a crew member
- Arrival at a job, start and stop times, and changes to time entries, with the reason you give. With each of these, Mantx also keeps the time your phone's own clock showed and whether that clock had been changed. Your office sees, next to each arrival and time entry, whether its time could be checked and whether the clock had been changed.
- Who was on the crew that day. This includes names you type for helpers who have no Mantx login.
- Services and products you mark done, equipment hours, and chemicals and materials used.
- Photos you take, with the time each was taken and, for photos of a visit, the category you pick, such as Before or After (see "Camera and photos").
- Notes and findings, for example damage or a change of scope.
- The customer's sign-off at completion: the name typed and their signature as drawn (the strokes and their timing), or the reason no sign-off was taken.
- Marking the job ready for clean-up, and completion of the visit.
- If your employer's role settings allow it (usually for crew leaders), disciplinary records about crew coworkers. Such a record names the coworker and holds the offense, the dates, the action taken, who took it and any probation end date.
Work you record as a sales rep
- New customers you add at the door: name, company name (for a business), service address and lead source, plus an optional phone number, email address, gate code and access note.
- Changes you make to customers' phone numbers, email addresses, contacts and properties.
- Notes you write for the office or the crew, and property observations (trees, measurements, hazards, access and gate codes, dogs, utilities and your own words), with their photos.
- Estimates: services, products and service packages, with their descriptions, quantities, prices, markups, discounts, surcharges, tax, tags, dates, package and billing notes, and any PO number.
- Signatures. When a customer signs an estimate on your phone, the app records the name typed or confirmed and their agreement to the terms. It also records their signature as drawn (the strokes and their timing), the exact estimate they were shown and which version of the terms it showed, how they want their copy (email, text or post), and the email address or mobile number they confirm for it. Mantx adds that email address or mobile number to the customer's record where the record has none. If it differs from the one Mantx has, or Mantx cannot add it, it goes to your office to check.
- Appointments you create, complete, reopen, cancel (with the reason you give) or add notes to.
- Visit outcomes: won, or lost and why; that you showed the estimate; your rating of how likely the customer is to buy; follow-up notes and the next contact date; and contact attempts, with how you tried and how it went.
- What you search for when you tap "Search all clients". This search runs only when you have signal. Mantx uses the search text only to answer the search; if a search fails, its text can appear in Mantx's error records. If you then tap Keep on my phone, Mantx records which customer you chose, and that customer stays on your phone for at least 14 days.
Diagnostics
The app sends technical records that help Mantx keep your work flowing and fix problems: how sending, receiving and photo uploads went and how long they took, how many items are waiting or were recently sent, by kind, when the app ran in the background, error codes, and whether the phone's clock was changed.
Diagnostics are kept with your account and your phone, but never include names, addresses, phone numbers, email addresses, note text, prices or locations.
Connection information
Like any internet service, Mantx's servers receive your phone's IP address when the app connects. Mantx keeps it with a record of each sign-in and with the records your work creates, and uses it to run and secure the service. Mantx's network and file storage providers also receive it when the app connects through them. Mantx's sign-in security checks may look up what a sign-in's IP address shows: its general area (city, region, country and an approximate map point), its internet or mobile provider, and whether it comes from a VPN or a data center. This helps spot logins that are shared or misused. Only Mantx staff see these sign-in details, and Mantx Field never uses them to follow where you go.
Location
Mantx Field does not ask for location permission and does not collect your location from the phone. Photos taken in the app carry no location. When you tap for directions or for the day's route, the app hands the address of each stop, or its map position when Mantx has one, to Google Maps: its app, or your browser if the app is not on the phone. From then on Google Maps, not Mantx Field, may use your location.
To date your work correctly when there is no signal, the app reads the time kept by the phone's network and satellite clocks. This gives the app a time, never a position. Your work does carry the phone's time zone setting.
Camera and photos
- The app uses the camera only for its photo screen, and the camera turns off when you close that screen or leave the app. The app takes still photos only. It never records sound or video.
- The app has no permission to browse your photos or files.
- Photos stay inside the app. They are not saved to your phone's gallery. When the app processes a photo, it removes the photo's hidden details (EXIF data), including any location, and then deletes its own unprocessed copy. A rare photo the app cannot read or cannot match to its job, for example after the app was closed by force as the photo was taken, is never sent; it stays unprocessed in the app's private storage until the app's data is removed. Mantx re-saves every photo it receives without such details.
- Photos you take for a job go into your employer's Mantx account, on that job, customer or property, or on a list for your office to review if that record was removed.
Notifications
This version of the app shows no notifications. The app never sends advertising or news.
Information the app keeps on your phone
So that you can work without signal, the app keeps on your phone the part of your employer's Mantx information you need:
- your schedule and jobs;
- the customers and properties involved and, for a sales rep, the open leads and recently active customers assigned to you (up to 500 leads and 1,500 customers) and any customer you choose to keep on the phone, with their names, contact details, addresses and map positions, gate codes, property notes, the office's notes on the customer, job history and earlier photos;
- estimates and your employer's price list;
- the names of coworkers you may need to record, the mobile phone number and work email of coworkers named on your customers, jobs and appointments, and, on a crew visit, who has a clock running and since when.
"How long information is kept" says when each of these leaves the phone.
How the information is used
Mantx uses the information only to:
- run the app for you and your employer: show your work, save it on the phone, and deliver it once, without duplicates, to your employer's Mantx account;
- pass completed jobs to your office for billing and, where your employer has turned it on, bill the customer automatically, including charging a card the customer saved for automatic payment;
- produce your employer's reports in Mantx, such as hours worked, job costs, crew scorecards and sales results;
- send the messages that people using the app ask for or that your employer has turned on:
- the customer's copy of a signed estimate, by email or text, with the customer's agreement;
- job-completion emails and surveys;
- billing notices and invoices for completed jobs, where your employer has turned them on;
- password-reset emails you ask for;
- your employer's own marketing emails, sent only to customers who agreed to receive them, for example after an estimate is signed or a job is completed;
- notices to your office about new customers, signed estimates, crew notes on a job, appointment confirmations you ask it to send, and work that needs its review;
- keep accounts and phones secure: check sign-ins, and let your employer switch off a lost phone or the phone of someone who has left;
- find and fix problems, and measure how reliably work is delivered, using diagnostics.
Mantx does not sell personal information or share it for advertising, and does not use it to advertise. The only marketing it sends is your employer's own marketing email, and only to customers who agreed to receive it. The app contains no ads and no third-party advertising or analytics code.
Who can see or receive the information
- Your employer. Your work and the app's diagnostics go into your employer's Mantx account. There, the people your employer allows can see them, according to the permissions your employer sets, and Mantx staff can reach them to support and run the service. For example, crew notes appear on the job and its work order, and notes for the office appear on the customer's record. Coworkers who use Mantx Field see some of it on their phones, for example notes for the crew, photos of a job and, on a shared visit, that your clock is running and since when.
- Your employer's customers. A customer who signs sees the estimate on your screen, including the sales rep's name, phone number and email as the estimate shows them. Mantx sends the customer their copy by email or text, or your office posts one, as the customer chooses on your screen. Mantx holds a copy until your office checks it when, for example, a price differs; your office then sends or cancels it. A customer who signs off a job on a crew phone sees the work done that day, how many photos were taken and the time on site. Customers also get the messages listed above, which can include the sales rep's name, phone number and email.
- Service providers that work for Mantx and follow Mantx's instructions, in these areas:
- cloud hosting and databases;
- file storage for photos and signatures;
- network delivery and security;
- email delivery and text-message delivery;
- maps services, which place a new property on the map from its address, find the nearest emergency care to a job's property and estimate travel between jobs, and never use the phone's location;
- sign-in security, which may look up the general area and network (for example a VPN or mobile provider) of a sign-in's IP address;
- server monitoring.
- Services your employer connects. If your employer connects other services to its Mantx account, such as accounting or payment services, Mantx passes them what they need, as your employer instructs.
- Other apps on your phone, when you ask. When you tap to call, text, email or get directions (to one job or along your day's route), the app passes the number or email address to your phone's dialer, messaging or email app, and addresses and map positions to Google Maps (its app, or your browser if the app is not on the phone). Mantx Field does not see your calls, messages or emails.
- When the law requires it. Mantx may disclose information when the law requires it, or to protect the rights, property or safety of people, Mantx or its customers.
How the information is protected
On the phone
- The app's database is encrypted. Its key is itself stored encrypted, with a key held in Android's protected key storage.
- Photos are kept in the app's private storage, which other apps cannot open. On current phones, Android encrypts this storage and ties it to your screen lock. This is why the app needs the phone to have a screen lock (PIN, pattern, password or fingerprint). If the screen lock is removed, the app locks itself.
- After 15 minutes without use, the app locks. It opens again with your phone's screen lock (PIN, pattern, password, fingerprint or face), unless you have just unlocked the phone. Your employer can change this time or turn this lock off. Android checks your fingerprint or face, and the app never receives it.
- The app's data is not backed up to the cloud or copied to a new phone. The app hides its screen in the list of recent apps (on Android 12 and older, as far as Android allows). The app does not block screenshots: a screenshot you take is saved by your phone like any other picture, outside the app's protection.
- Sign-in tokens and keys are kept only in Android's secure storage, never in the app's database.
In transit
- The app sends information only to Mantx's servers and Mantx's file storage. To show earlier photos, it downloads them from Mantx's file storage through links that expire after 15 minutes: small previews of today's and tomorrow's work ahead of time, and the full size when you open one. Every connection is encrypted (HTTPS).
At Mantx
- Sign-in and the permissions your employer sets control who at your employer can see the information. Mantx staff can reach it to support and run the service. Each phone proves who it is with its own device secret, which Mantx's database keeps only in a scrambled (hashed) form.
- Your employer can switch a phone off in Mantx. The section on removing your account, below, says what the phone then does.
How long information is kept
On the phone
- Work you have not sent is never deleted automatically, however long the phone is offline. It stays until Mantx confirms that it arrived. It leaves the phone earlier only if you remove it yourself in the app, after a warning that says what will be lost (a note, change or signature you discard on its own is kept out of sight on the phone for at least 30 days and then deleted, or sooner if the app's data is erased; a photo or disciplinary record you discard is deleted at once; Remove my data from this phone deletes the app's data at once); if you uninstall the app or clear its storage in Android's settings; or if your employer switches off this phone, or your access to Mantx ends (for example your login is removed or disabled, or your end date passes), and the phone cannot finish sending within 72 hours of its first connection after that. Photos taken after your employer switched the phone off are not accepted, and are erased with the rest. An estimate you leave unfinished on the phone is not sent; it is deleted without a warning if you remove your data or someone else signs in on the phone.
- Photos you have sent stay on the phone at full size until at least 3 days after Mantx confirms it has them and the work they belong to has arrived. After that, the next time the app is open, only a small preview is kept, until at least 10 days after that confirmation. When the phone runs low on storage, full-size photos go sooner, and so do the previews of work that has already left the phone.
- The phone keeps only the most recent 2,000 diagnostic records.
- Each time the app updates from Mantx, records that are no longer part of your work leave the phone, unless they still have work waiting to send or your clock is still running on them. A copy of work you sent stays inside the app for at least 14 days after Mantx confirms it (a disciplinary record leaves at once). The office's replies about changes you sent, which can include the values you sent, stay until the app's data is erased. Earlier photos from Mantx are kept as small previews, up to 50 MB of them, and leave with the records they belong to; a full-size photo you open is deleted when you close it. After you sign out, the app's data stays on the phone, encrypted, until the next sign-in, or until the phone learns that your employer switched it off or your access ended, when it is erased: it is updated if you sign in again, and erased first if someone else signs in. To delete it when you sign out, choose Remove my data from this phone.
- If work is still waiting when you sign out, you choose between keeping it on the phone, locked until you sign in again, and removing it. A different person can sign in on the phone only after your work has been sent or removed, or after the phone has erased your data because it was switched off or your access to Mantx ended. That person starts with an empty app.
At Mantx
- Work records (for example jobs, customers, estimates, appointments, notes, photos, signatures and time entries) become part of your employer's business records and are kept as long as your employer keeps them in Mantx. When your employer deletes a record in Mantx, it is hidden or removed, but a copy stays in Mantx's history of changes, which has no set deletion date. Deleting a photo of a visit deletes the photo's file. Mantx keeps a small preview of each photo the app has shown, and a record of each photo the app sent (who sent it, from which phone, with its caption), with no set deletion date, even after the photo is deleted. A customer's signature as drawn, and photos of work your employer's office discarded, also have no set deletion date.
- Mantx keeps a technical record of each item the app sends. The record keeps the item's content until the item is applied, or closed by your employer's office in Mantx, however long that takes, and for 90 days after that. The record itself is deleted 400 days after the item was applied or closed, so that until then Mantx can recognise a repeat. Values Mantx could not apply (with the office's value kept instead), notes that had no record left to attach to (with the work that waited on them), and details of a new customer that the customer record cannot hold are kept for your employer's office with no set deletion date.
- Records of which phones were signed in are kept for 400 days after a phone is signed out, replaced or switched off. A copy of the property history last sent to each phone (earlier jobs, their notes and photos), and which photos each phone was sent, have no set deletion date. Mantx's sign-in service also records each sign-in, with the time, the IP address it came from and that address's general area. Mantx keeps these sign-in records, even after your login is removed, with no set deletion date. Mantx also keeps, with no set deletion date, which person and phone created each record, and the clock readings and reasons behind each time entry.
- Diagnostics are kept for 180 days.
- Emails and texts sent to customers because of your work are recorded, with their content and recipients, in your employer's Mantx account like its other messages, and are kept as long as your employer keeps them. Mantx's own entry for each message to be sent is deleted 90 days after the message is sent or cancelled; an entry that failed, is held or whose outcome is unknown stays until the message is sent or cancelled.
- Photo uploads that never finish are deleted after 30 days. The phone keeps its own copy until an upload finishes.
- Server logs and monitoring records can include IP addresses and error details.
- If your employer stops using Mantx, its agreement with Mantx governs what happens to its information. Even if its account is deleted, some copies stay with no set deletion date, such as Mantx's history of changes, sign-in records, signatures as drawn and photo files.
Removing your account or data
- Your account. Your employer created your Mantx login and is the one who removes it. Removing or disabling your login does not delete your profile or the work you recorded; they stay in your employer's Mantx account. To stop using Mantx Field, ask your employer. When your employer switches off a phone you are signed in on, or your access to Mantx ends (for example your login is removed or disabled, or your end date passes), the phone locks the next time it connects, sends the unsent work it can and then erases the app's data, photos included, except the installation ID. If it cannot finish sending within 72 hours of that first connection, it erases the data the next time the app runs after that, and work it had not sent is lost. Signing in on a new phone does not erase the old one: the old phone sends what it saved, then locks and keeps its data until you uninstall the app there or your employer switches that phone off.
- Information on your phone. In the app, open Account and choose Remove my data from this phone. It signs you out and deletes the app's data from the phone, except the installation ID, which stays until you uninstall the app or clear its storage. Uninstalling the app removes all of its data from the phone, including work that has not been sent. A password you saved in a password manager stays there.
- Asking Mantx. You can email info@mantx.com to ask what personal information Mantx holds about you, to have it corrected, or to have it, or your login, deleted. Include your name, your employer's name and the email address you sign in with. The information is part of your employer's business records, so Mantx will work with your employer on your request. Some records may be kept where your employer or Mantx must keep them, for example for security, to settle a dispute or because the law requires it. Where this policy gives no period for a record, Mantx may keep it with no set deletion date.
- Customers of a business that uses Mantx can ask that business, or email info@mantx.com.
Children
Mantx Field is a work app for employees of businesses. It is not directed at children, and Mantx does not knowingly collect information from children.
Changes to this policy
Mantx will post any change to this policy on this page and update the date at the top. Mantx will also tell the businesses that use Mantx Field about a significant change.
